Project Management is Not Busy Work

I know it can seem that way from time to time, but project management is not busy work. It’s about delivering project outcomes on time and within budget.

If that’s the case, why do so many project managers feel like they’re going in endless circles? It’s often because they spend too much time:

  • Aligning calendars between clients, stakeholders, and team members
  • Scheduling, rescheduling, and attending meetings
  • Producing endless reports—daily, weekly, monthly, and quarterly
  • Handling administrative tasks and paperwork

Project managers who fall into this trap have lost sight of the real job.

Organizations share some of the blame when they mislabel these types of roles as project management. In many cases, these responsibilities align more closely with expediters or coordinators.

Yes, scheduling, meetings, and paperwork are part of the job—but they are not the job.

The project manager’s role is to plan, execute, and close projects while ensuring they are completed on time, within budget, and according to scope. When project managers become consumed by coordination and paperwork, they risk losing sight of these priorities.

A successful project manager stays focused on delivering value, ensuring that every effort contributes meaningfully to project success rather than simply filling time.

Try this simple exercise:

  • Make a list of your top tasks for the week
  • Ask yourself: if I could only complete two, which would I choose?
  • Those are your priorities—where your time and energy should go
